ProMediate (UK) Limited is the data controller for personal information processed through this website and in the course of providing mediation services. You can contact us at enquiries@promediate.co.uk.

What we collect

• your name, organisation, email address and telephone number;
• the capacity in which you enquire and your preferred mediator and format;
• the dispute information you choose to provide; and
• correspondence and information needed to arrange a mediation.

Why we process it

We use this information to respond to enquiries, carry out conflict and availability checks, provide quotations, administer mediations and comply with legal, regulatory and professional obligations. Our lawful bases include taking steps at your request before entering a contract, performing a contract, legitimate interests in administering our service, and compliance with legal obligations.

Enquiries, security and sharing

Website enquiries are transmitted securely to the ProMediate enquiries mailbox. They are accessible only to authorised personnel. We use trusted providers for services such as email, secure document sharing and video conferencing; they process information on our instructions. Mediation is confidential, subject to the mediation agreement and limited exceptions required by law.

Please do not send substantial case papers with an initial enquiry. We will invite documents after conflicts, availability and suitability have been considered.

Retention

We keep enquiry and mediation information only for as long as needed for the purpose for which it was collected and to meet legal, insurance and professional obligations. Retention periods depend on the nature of the record and applicable requirements; information is securely deleted when it is no longer needed.

Your rights

Depending on the circumstances, you may ask for access to or correction of your personal information, request erasure or restriction, object to processing, or ask for data portability. You may also complain to the Information Commissioner's Office at ico.org.uk.
